What documents are required for export customs clearance?

For export customs clearance, a commercial invoice is required, including:

  • seller and consignee details,
  • description of the goods, number of units or packages, gross and net weight,
  • goods value and currency,
  • delivery terms according to Incoterms,
  • invoice number and issue date.

A packing list (optional) is required if the above information is not included on the invoice.
Additional documents may be required depending on the type of goods, such as:

  • manufacturer’s declaration,
  • EUR.1 movement certificate,
  • phytosanitary or veterinary certificate, if applicable.

For effective import customs clearance, the following documents are required:

  • commercial invoice with translation and a detailed description of the goods,
  • packing list with quantities and weights consistent with the bill of lading or transport document,
  • copy of the ocean bill of lading (B/L) or another transport document,
  • certificate of origin or FORM A, if preferential customs duties apply,
  • original T1 document, if the goods were transported under transit procedure,
  • CE certificate – required for the import of electronic or electrical equipment,
  • documents confirming transport costs – particularly under FOB or EXW delivery terms,
  • fumigation certificate – for wooden packaging (e.g. pallets, crates),
  • WIOR authorisation – for goods of plant origin,
  • other specialist documents, such as test reports, licences, or permits, especially for branded goods (e.g. IBM, Apple).

A Bill of Lading (B/L) is a maritime transport document confirming that goods have been loaded onto a vessel. The holder of the document is entitled to collect the cargo at the port of destination. It is a document of title that:

  • confirms the conclusion of a contract of carriage,
  • serves as a basis for the transfer of ownership of the goods,
  • may be transferred to other parties and bought or sold in commercial transactions,
  • plays a key role in international maritime trade.

Door-to-door transport is a comprehensive freight forwarding service “from A to Z”. We organise the entire process — from collecting the goods directly from the shipper to delivering them to the consignee. Without unnecessary intermediaries, delays, or stress. The service includes transport, documentation, and all required formalities.

Yes. We also offer less-than-container load (LCL) shipments, allowing you to transport smaller cargo volumes without booking an entire container. This cost-efficient solution lets you share container space with other shippers and pay only for the space you actually use. LCL transport is ideal for companies that:

  • are starting import or export operations,
  • ship irregularly or in small volumes,
  • want to test new markets without large investments,
  • do not require a full container but expect complete logistics support.

Incoterms are a set of international rules that clearly define who bears costs and responsibility at each stage of transport in international transactions. They specify, among other things, who organises transport, who is responsible for loading, insurance, customs clearance, and delivery to the destination.
Thanks to Incoterms, each party knows exactly where the seller’s responsibility ends and the buyer’s responsibility begins – and vice versa.

Below is a brief explanation of the most commonly used Incoterms, from the most cost-efficient for the seller to full logistics responsibility on their side:

  • EXW (Ex Works): Goods made available at the seller’s premises – all further responsibility lies with the importer
  • FCA (Free Carrier): Seller covers costs until handover to the first carrier
  • FAS (Free Alongside Ship): Goods delivered to the port, without loading
  • FOB (Free On Board): Exporter covers costs until goods are loaded onto the vessel
  • CFR (Cost and Freight): Seller pays for transport, but risk transfers to the buyer upon loading
  • CIF (Cost, Insurance and Freight): As CFR, with insurance provided by the exporter
  • CPT (Carriage Paid To): Carriage paid to the named place
  • CIP (Carriage and Insurance Paid To): Transport and insurance paid to the destination
  • DAP (Delivered At Place): Delivery to destination – customs duties and clearance on the importer’s side
  • DPU (Delivered at Place Unloaded): Delivery to destination including unloading
  • DDP (Delivered Duty Paid): Exporter covers all costs – the consignee has no further obligations
